The purpose of this Daily Operations chapter is to:
Provide information about using this Service Tracking System to better manage/track/perform your (typical) daily Service Department related operations.
Address how MKMS will help you with each of these Daily Operation tasks.
Most importantly, it will provide the appropriate links to the chapters with the information about performing each of these Daily Operation tasks.

 

The outline below lists, displays the appropriate link, and briefly describes the typical Daily Operations that are generally required to run a Service Department.
Set up any new Subscribers for the Service Tracking System by completing the items which will prepare new Subscriber entries for use by the Service module.
Service Information - Complete the Service Information tab on the Subscribers Form.
Auto Service Requirements - Identify any recurring service requirements for the new Subscriber.
Service Contracts - Record the Subscriber's newly purchased Service Contract(s).
Installed Equipment - Define the new or revised system's installation information.
Print Work Orders - Print the Work Orders for Today and the daily Schedule for each of your Technicians.
The Service Request Forms option on the Service Tracking Reports menu has a print function that provides a powerful Work Order printing options that will:
Print Blank Work Orders
Print all Un-Printed Work Orders
Print All Work Orders for a Specific Day (or set of days) based on:
oWhen they were originally requested.
oWhen they are actually scheduled.
oSelection for a specific Technician (or all of them).
oSelection based on the assigned Work Order Type (Regular Work Order, Fire Alarm Test, Extinguisher Inspection, Installation List, or all of these).
oAny combination of these options.
The Technician Schedules option on the Service Tracking Reports menu provides the ability to print the work schedules for a specific Technician or for All Technicians, for Today, or for any Date Range that may be required.
Enter new Work Orders - There are two ways to enter a Subscriber's Service Request:
1.Quick Work Order - Simplified interface to quickly enter a Work Order.
2.Service Request - Full featured interface with a more detailed dialog for entering a Work Order.
Schedule Service Requests - Assign a specific Technician to unscheduled Work Orders and set an Appointment for a specific day and time.
Each Technician's Schedule may be printed for any required day.
Confirm/Change Technicians Work Status - The Technician Status Form shows the currently reported status of each Technician.
Update the current Status of each Technician whenever it changes.
Provides direct access to the Technician Scheduling Form for the currently selected Technician.
Display the Work Order Detail for an assigned Work Order.
Remove a Technician from the Technician Status Form, if terminated.
Post Time Sheet entries - Enter the Technician's Labor Hours worked using the Time Sheets Form or the Labor tab on the Service Request Form.
Complete the Work Orders - Using either the Service Requests or the Work Order Completion & Review Form, provide the information about each completed Work Order.
Invoice Work Orders - Using either the Service Request and/or the Work Order Completion & Review Form, finish entering the information pertaining to the charges incurred for each completed Work Order.
Create the required Invoices in a virtually automatic way, use the Invoicing Function available on either of these Forms.
These Service Call Invoices may also be modified later, if required.
Optionally, the Sales Form may be used to manually bill the completed Work Orders.
Review Technician Performance - Analyze the performance and efficiency of each Technician.
