If your Company is marketing Service Contracts, or you simply want to assure that the proper level and frequency of service inspections is being provided to your Subscribers, you will need to perform periodic - regularly scheduled - inspection and testing services for your Accounts.
Sometimes these maintenance related periodic service calls - your Company's Recurring Service Requirements - are dictated by a UL© or local Fire Code and/or Alarm System permitting regulations.
Regardless of the reason, properly completing these services in a timely manner is important to your Subscribers and ultimately to the long term success of your business.

 

The automatic generation of Work Orders for these periodically mandated Recurring Service Requirements is both easy to set up, and to produce:
Locate the appropriate Account on the Subscribers Form, Click the Service Quick Access menu and Select the Auto Service Icon.

Recurring Service Form

 

This Recurring Service Form may be Re-sized by Dragging the Top and/or Bottom up or down, and/or the Right side in or out.
Navigation Menu - The Navigation Menu is located at the top of the Recurring Service Form.

This Navigation Menu provides the normal Record Movement, New, Edit, Delete, Cancel, Save, and Refresh options; as well as a Search function and buttons to set the Fire Inspection Type.

 

Record Editing section - The details of the currently selected record are displayed below the Navigation Menu at the center (Main Body) of the Recurring Service Form.

 

Table View tab - A tabular (spreadsheet style) Table View of the currently defined Recurring Service records is accessible by Clicking the Table View tab at the bottom of the Recurring Service Form.

To display a specific Recurring Service record in the Record Editing section, Click on that record within the Table View section, or use the Search Icon (see the "Using the Special Functions" section later in this chapter).
This Table View information may be Pinned in Place by Clicking the Pin Icon on the right.

You may Un-Pin this Table View by Clicking the Pin Icon again.
Click on any listed record to display that information in the center (Main Body) of the Form.
Each data column's Header Name describes the data contained in that column.
Clicking on a Header Name will set the order in which the (Recurring Service) data will be listed.
Clicking on the same Header Name will set the order in the opposite direction (ascending vs. descending).

The Header Name that is determining the Order of the (Recurring Service) data, will have an Icon - indicating the Order in which it is displayed - to the  right of that Header Name.

Use the Slide Bar at the bottom of the Recurring Service list to see the data listed in all of the columns.

 

To define a Recurring Service requirement, Click the New (/) Icon to start the Recurring Service entry and enter the required Recurring Service Item information as explained below:
Fire Inspection Type - Click the appropriate Fire Inspection Type button:

By default, the None button is selected on the Navigation Menu - thereby identifying this Account as needing a Standard Work Order Type.
If the purpose of this Recurring Service Requirement is for performing a Fire Alarm Test or a Fire Extinguisher Inspection, Select that appropriate button.

Service Frequency - Using the Drop-Down Selection List provided, Choose the appropriate Service Frequency for this Recurring Service Requirement

Starting Month - Using the Drop-Down Selection List provided, Choose the appropriate Starting Month.
Remember that you may be providing a Recurring Service Requirement that does not start for several months (or years) in the future.
The actual Month and Year that this Recurring Service commences is entered in the Starts field (see below).
In this manner, you may enter information for a Recurring Service that is to be performed every two years (Bi-Annually) or for virtually any other cycle, and that does not actually need to be implemented for many months (or years) in the future.

Svc Type - Select one of the previously defined Service Types using the Drop-Down Selection List provided.
Description - By default, the Description entered for the selected Service Type will be inserted.
This Description may be modified, if required.
Starts - Click the Starts field's calendar Icon to display the Select Month / Select Year dialog

Use the Select Month & Select Year Drop-Down Selection List es to Choose the appropriate month and year to start performing this Recurring Service Requirement.
Click OK to save your entry.
End Date - This field is usually remains blank.
If an End Date must be entered, Click the End Date field's calendar Icon.

Use the Select Month & Select Year Drop-Down Selection List es to Choose the appropriate month and year to end this Recurring Service Requirement.
oIn most cases, the End Date field will not be needed as most Service Contracts are self-renewing.
oHowever, upon notification from the Subscriber that they will not be renewing their Service Contract, return to this Auto Service Form and enter the appropriate End Date information.
oOK - Click OK to save your entry.
Clear Date - If an End Date had previously been entered, but is now not required (they decided to renew), Click the End Date field and Select Clear Date.
Click the Save (<) Icon to record this entry.

Status - The Status Icon at the bottom of the Auto Service Form is color coded and indicates whether this Recurring Service Requirement is Active or InActive.

 

Note: Repeat this procedure, as needed, to define all of the Recurring Service Requirements for this Subscriber.
