The Recurring Service Preview report - based on the Auto Service (Recurring Service Definitions) information you've entered - allows you to Print and/or View a list of Work Orders that will be generated for a specific month when the Auto Service (Automatically Generate Service Requests) function is executed.
To print a Recurring Service Preview report, on the Main Menu Select Reports, Choose the Service Tracking sub-menu.
Then Click on Recurring Service Preview.

The screen illustration above shows all of the default settings for the Recurring Service Preview Report dialog.

 

Recurring Service Preview tabs - There are three tabs on theRecurring Service Preview dialog.
Options - Initially only the Options tab is shown until you make your Options selections (see the "Making the Selections" section below) and Select Print.
Period To Preview - This will list All Recurring Services that will be created for the Month and Year selected, based on the Auto Service (Automatically Generate Service Requests) you have defined.
Year - By default, this will be the current year, unless the report is selected in the last month of the year when the year presented will be next year.  Use the Drop-Down Selection List to Choose the required Year.
Month - By default, this will be next month, unless the report is selected in the last month of the year when the month presented will be the first month of the new year.  Use the Drop-Down Selection List to Choose the required Month.
Technician Group(s) - Check each of the Technician Group(s) whose Subscribers are to be included:

Those selected will be inserted into the Technician Group(s) field.

 

About the Use of Technician Groups:
Employees (who are Technicians) may be assigned as Members of one or more Technician Groups (sometimes also referred to a Service Groups), based on their Skills, Location, Language, Company Division - or any combination of these.
A Subscriber may be assigned to only one Technician Group in the Service Information tab of the Subscriber Form (shown as the Tech Group field).
Therefore Selecting Technician Groups will limit the Subscribers listed to those in the selected Technician Group who have a Recurring Service Requirement defined that is due for the Period To Preview entered above.
Check one or more Technician Groups whose Subscribers are to be included in this Recurring Service Preview Report.
Sort by - Choose the order in which the information will be listed:
Subscriber ID - Lists the Recurring Services by Subscriber ID (the internally assigned Record Number for each Subscriber).
Subscriber Name - Lists the Recurring Services alphabetically by Subscriber Name.
Show Address? - Check the Show Address? box to have the Subscriber's full address information included in the report.
Charts - Using the Drop-Down Selection List provided, you may request that a Pie or Bar Chart be included as part of this report's output that shows graphically the number of Subscribers  in each Service Type.
Note: If the Chart field is not present, set the Report Charts field to True ("T") in Company Settings.
Print - Click the Print button HelpFilesPrintButton to Preview and optionally Print (to a File or a Printer) this Recurring Service Preview report.

 

Preview - The Preview tab presents the report which resulted from the Options you've selected.
Up Arrow/Down Arrow - hi - Moves the report one line up, or one line line down, respectively.
Page Up/Page Down - Moves the report to the previous or next page, respectively.

Home - HelpFilesHomeKey- Using either the screen Icon or your Keyboard's Home key, moves the report to the top of the first page.
End - HelpFilesEndKey- Using either the screen Icon or your Keyboard's End key, moves the report to the bottom of the last page.
Arrows - The arrows allow you to move back and forth, from page to page.
Number - Indicates the page number you are viewing.
You may also type in a specific page number, Press 8 Enter and that page will be displayed immediately.
If you enter an invalid page number, it will be ignored.
Fit To Page - Click the first button after the arrows to size a full page of the report to fit the screen.
Zoom To 100% - Click the second button after the arrows to display the page at 100% (of the printed view).
Fit To Page Width - Click the third button after the arrows to size the page of the report to fit the full width of the screen.
Zoom To Percentage - Click the fourth button after the arrows to re-size the page of the report by percentage.

When you Click the Zoom To Percentage button, the Percentage selector will be displayed.
You may then Click the Up  or Down arrow to set the exact amount of Zoom you want.
Print - Click the Print button to Print (to a File or a Printer) HelpFilesPrintIconthe displayed Recurring Service Preview.
Email - Click the Email button to open Outlook® and email this report to an address you specify.

 

Data View - This view provides a tabular (spreadsheet style) presentation of the selected data.

Arrows - Click the arrows to move through the record.
Export - Exporting the data from this Data View Form (note the "fly-over" help available on these buttons):
Export to CSV - Click the first button after the arrows to export the data to a Comma Separated Values (CSV) file format.
Export To Excel - Click the second button after the arrows to export the data to an Excel (.xls) file format.
Export To Html - Click the third button after the arrows to export the data to an HTML formatted file.
Exit the Form by Clicking the Close button x on the right at the top of the Form.
