The Profit & Loss Statement compares Revenue to Expenses for All or a selected set of (one or more) Divisions, and/or for All or a selected set of (one or more) Departments, based a chosen (by default the Current) Year, reporting the net difference as the Profit (or Loss - if those Expenses are greater than the Revenue).
On the Main Menu, Select Reports and Choose the General Ledger sub-menu, then Click Profit & Loss.

 

Profit & Loss Statement tabs - There are three tabs on the Profit and Loss dialog.
Options - Initially only the Options tab is shown (until you make your Options selections and Select Print).

Report Period - Specify the accounting period to be reported.
Period 1 ... Period 12 - The status of your business based on the transactions that occurred during the select accounting period.
YTD - By default, the status of your business based all of the transactions posted, up to and including the most recently closed period, but excluding any un-closed month(s).
Current - The current period representing all dates that fall within the current Fiscal Year including the un-closed month(s) up until Today.
Report Type - Choose the complexity of the report format.
Detail - By default, all Groups, Departments and Accounts will be listed.
Summary - A condensed format summarizing any Groups that were marked Hide on Condensed.
For Which Department - Report for One or All Departments.
All Departments - By default, all Departments will be included.
One Department - You may to choose to have only the balances for a specific Department included.
Department - Using the Drop-Down Selection List to Choose the desired Department.
Report Order - Select the sequence in which the information will be listed.
Department then Account - By default, Report on a Department by Department basis, with all the accounts within each department included in that departments section.
Account then Department - Report by General Ledger Account Number and then show the Departmental balances for each account.
Show Groupings on Detail - If a Report Type of Summary is Selected, this option is not available.
By default, all General Ledger Accounts which have been assigned to a Group and having an active balances, will be listed separately from unassigned accounts
Each Group's Name and a Sub-Total for each Group's balance will be provided.
To have all General Ledger Detail listed in Account Number order, and to to eliminate the Group related information or Sub-totals on this Profit & Loss Statement, Uncheck this box.
Condensed Format - If a Report Type of Summary is Selected, this option is not available.
Check this box to have the Accounts within the Groups hidden (and just show the Group's name and its Sub-Total).
Charts - Using the Drop-Down Selection List provided, you may request that a Pie or Bar Chart be included as part of this report's output.
Print - Click the Print button HelpFilesPrintButton to Preview and optionally Print (to a File or a Printer) this Profit & Loss Statement.

 

The Preview tab presents the report which resulted from the Options you've selected.
Up Arrow/Down Arrow - hi - Moves the report one line up, or one line line down, respectively.
Page Up/Page Down - Moves the report to the previous or next page, respectively.

Arrows - The arrows allow you to move back and forth, from page to page.
Number - Indicates the page number you are viewing.
You may also type in a specific page number, Press 8 Enter and that page will be displayed immediately.
If you enter an invalid page number, it will be ignored.
Fit To Page - Click the first button after the arrows to size a full page of the report to fit the screen.
Zoom To 100% - Click the second button after the arrows to display the page at 100% (of the printed view).
Fit To Page Width - Click the third button after the arrows to size the page of the report to fit the full width of the screen.
Zoom To Percentage - Click the fourth button after the arrows to re-size the page of the report by percentage.

When you Click the Zoom To Percentage button, the Percentage selector will be displayed.
You may then Click the Up  or Down arrows to set the exact amount of Zoom you want.
Print - Click the Print button to Print (to a File or a Printer) HelpFilesPrintIconthe displayed Profit & Loss Statement, and may also be converted to a PDF or various other types of documents, or into an Excel® Spreadsheet file.
Email - Click the Email button HelpFilesEmailButtonto send the Report to an Email Address of your choosing.
Exit the Preview tab by Clicking the Close button x on the right at the top of the Form.

 

Data View - This view provides a tabular (spreadsheet style) presentation of the selected data.

Arrows - Click the arrows to move through the record.
Export - Exporting the data from this Data View tab (note the "fly-over" help available on these buttons):
Export to CSV - Click the first button after the arrows to export the data to a Comma Separated Values (CSV) file format.
Export To Excel - Click the second button after the arrows to export the data to an Excel (.xls) file format.
Export To Html - Click the third button after the arrows to export the data to an HTML formatted file.
Exit the Data View tab by Clicking the Close button x on the right at the top of the Form.
